Wendy Wei Tours Terms & Conditions

Please read these terms carefully before confirming your booking. By booking a tour with Wendy Wei Tours, you confirm that you have read, understood, and agreed to the following.

General Policies

Wendy Wei Tours and our local partners always strive to provide safe, enjoyable, and high-quality travel experiences. By booking a tour with us, guests acknowledge and agree to the following:

  • Voluntary participation. Guests participate in all tour activities at their own risk.
  • Assumption of risk. Many sightseeing activities — such as walking on uneven surfaces, climbing steps, boarding vehicles or boats, visiting crowded sites, or navigating natural landscapes — carry inherent risks including slips, falls, injuries, and accidents.
  • No liability for events outside our control. Wendy Wei Tours is not responsible for injuries, losses, damages, delays, or expenses resulting from natural conditions, actions of third-party suppliers, transportation delays, closure of attractions, or guest negligence.
  • Health & fitness. Guests are responsible for ensuring they are physically capable of participating in tour activities. Any pre-existing medical condition must be disclosed prior to travel.
  • Personal belongings. Wendy Wei Tours is not liable for loss, theft, or damage to personal items during the tour.
  • Duty of care. Guides are not medical professionals; emergency response services may vary by region; participation in each activity is at the guest’s own discretion.

Payment Terms

Wendy Wei Tours operates on a first-booking basis. Tour availability is not guaranteed until a deposit has been received. We strongly recommend completing your deposit as early as possible after receiving your invoice.

  • Standard tours: Remaining balance may be paid on the first day of the tour.
  • Layover tours: Full payment must be received at least 3 days before the tour start date.
Your booking and all arrangements will only begin once a deposit is received. Early payment is strongly encouraged to secure your preferred dates and services.

Cancellations & Changes

A non-refundable service fee of USD 50 applies to all tour booking cancellations, and USD 30 applies to cancellations of point-to-point transfer services.

Flights, hotels & non-refundable activities

Any air tickets, flights, hotels, or pre-booked activities that are non-refundable are subject to the supplier’s own cancellation policy. Wendy Wei Tours cannot guarantee refunds for these items. Guests are responsible for any charges imposed by airlines, hotels, trains, or activity providers.

Changes to your booking
  • A USD 30 amendment fee applies if changes require documents to be reissued.
  • Please notify us at least 7–15 days prior to your tour date.
  • Where bookings are non-refundable or non-changeable, amendments may not be possible and extra costs may apply.
  • Guests are responsible for all additional costs arising from changes, including price differences for flights, hotels, trains, last-minute transport, or activities.

Force Majeure

If a tour is cancelled due to circumstances entirely beyond our control — including natural disasters, severe weather, pandemics, government travel restrictions, civil unrest, or war — Wendy Wei Tours will not impose cancellation charges on our part, and your tour deposit will be refunded in full.

However, where third-party bookings have already been made (flights, hotels, trains, or pre-booked activities), refunds are subject to those suppliers’ individual cancellation policies. Wendy Wei Tours has no control over third-party refund decisions and cannot guarantee full recovery of these costs.

We strongly recommend purchasing travel insurance that includes cover for trip cancellation due to force majeure events.

Itinerary Changes by Wendy Wei Tours

While we always aim to deliver your tour exactly as planned, Wendy Wei Tours reserves the right to modify itineraries when circumstances make this necessary, including:

  • Adverse weather conditions
  • Road closures or transportation disruptions
  • Temporary closure of attractions or sites
  • Safety concerns or government advisories
  • Force majeure events

In such cases, we will make every effort to provide a suitable alternative of equivalent or better quality at no extra cost. Where this is not possible, we will inform you as soon as reasonably practicable. No compensation is payable for changes caused by circumstances beyond our reasonable control.

Travel Insurance (Strongly Recommended)

Travel insurance is not included in your tour fees. Our liability insurance covers only limited incidents caused by our team and does not cover medical emergencies, personal belongings, or unexpected travel disruptions.

Overseas insurance companies generally handle claims more efficiently and offer broader medical coverage than local Chinese insurers. We strongly encourage all guests to secure comprehensive travel insurance before their journey.

  • Emergency medical treatment & hospitalization
  • Trip cancellation or interruption
  • Lost or damaged luggage
  • Personal accident or injury
  • Emergency evacuation (especially for mountain or rural destinations)

Visa Responsibility

Guests are solely responsible for obtaining the correct visa or entry permit required to enter China. Wendy Wei Tours does not provide visa assistance and accepts no liability for guests who are denied entry or experience delays due to visa or immigration issues.

We recommend checking the latest visa requirements for your nationality well in advance, and ensuring all travel documents are valid for the full duration of your trip.

Photography & Privacy

During your tour, our guides or representatives may take photographs or videos for documentation and promotional purposes. These may be used on our website, social media, or marketing materials.

If you prefer not to be photographed, or do not wish your images used for marketing, please notify us in writing before or at the start of your tour. We will fully respect your request.

Wendy Wei Tours will not share, sell, or disclose your personal information to third parties except where required to arrange your tour (e.g. hotels, transport providers) or as required by law.

Governing Law & Disputes

These terms and conditions are governed by the laws of the People’s Republic of China. Any disputes arising from or in connection with your booking or tour shall be subject to the jurisdiction of the courts of China.
